Rounding Up in Checkout - Charity

Hi all,

As some of you may know, we have a team at head office taking part in a challenge to raise as much money as possible for The Prince’s Trust. The Prince’s Trust helps disadvantaged young people to get their lives on track. It supports 11 to 30 year-olds who are unemployed and those struggling at school and at risk of exclusion. Many of the young people helped by The Trust are in or leaving care, facing issues such as homelessness or mental health problems, or have been in trouble with the law.

As part of this initiative, for the next few months (starting Monday 22nd July until end of the year), there will be an option for the customer to round up their order value to the nearest £1, or to simply add a charitable donation to their order.

Underneath delivery methods on your magento order page, there will be a box where you can enter the amount the customer wishes to donate, if anything.

Some important notes are as follows:

Basic Sales Script to Follow: ''This year we’re raising money for The Prince’s Trust, to help young people gain confidence, find work opportunities and start businesses. Would you be happy to round up your order to the nearest £1 to support their cause?''

Refunds: If a customer wishes to be refunded for their charity donation, you will refund in the same way the customer paid (just like a normal refund). That said, you will need to send an email to Kimberley in accounts to confirm that you have refunded a charitable donation so she can take note of this. Please remember to send her an email if you ever refund a charity donation. Hopefully this would be rare.

We won't be able to refund the donation via Credit Memo in Magento, so simply do the refund and email accounts. Also put a note on the order, but do not raise a credit memo for the refund amount if only refunding the charitable donation.

- If it is just a normal order cancellation, credit memo the order and follow normal process.

- If it is a cancellation and reorder, raise a new order as normal, but do not include any donation amounts on the new order. The donation amount would just stay with the first order, even after it is credit memod.

- If the customer is paying finance, the charitable donation is not an option just because of the complexity this brings, so please don't offer this option if paying finance.

If you have any further queries, please let us know.
